INTERNATIONAL ATTENDEES
ASCLD recognizes that many of you will be traveling from international locations to attend the 2025 ASCLD Symposium and will require a visa to do so. To assist, ASCLD has created a letter of invitation detailing your intent to attend our event. Simply download and print the Letter of Invitation, fill in the relevant details, and present to the consulate during your visa appointment. This letter is to be used for the purpose of securing a visa solely to attend the ASCLD Symposium, not fore individuals looking to travel to the United States for pleasure. ASCLD cannot guarantee or assist with the obtaining of any visas or other travel documents required for entry into the United States. Attendees' registration, travel, lodging, and any other expenses incurred to attend this meeting will not be covered or waived by the American Society of Crime Laboratory Directors.

FAQs AND DISCLAIMERS

When can I register? Registration for the Leadership Academy will open on October 4, 2024. Registration for the Symposium, including all optional activities, will open on November 4, 2024.

Is attendance in person only? Yes, ASCLD only offers in-person participation in the Symposium. No virtual or recorded options are provided.

How do I register? Beginning in fall 2024, click the Register Now button above to register for the conference. You will need your personal information and payment information to complete your registration.

I want to take advantage of early bird pricing but can't pay or don't have approval to attend yet. How do I do that? You can register at any time and make payment at a later date as long as payment is received before the event. However, if you cancel your registration or no-show at the event, the credit card you put on file to hold your spot at the conference will be charged accordingly.

Can I register now but add workshops and special events later? Yes! To return to your registration at a later date utilize the Modify and Pay button above and select optional activities. Please note that no refunds will be provided if you want to cancel or change any of your additional paid experiences such as the offsite event and workshops.

Do I have to register for the conference if I just plan to present or hang up my poster and then leave? Yes. All participants including speakers are required to register. Discount codes are available for individuals that will not be attending anything other than their session.

Oops, I already registered but just signed up again! What do I do? If you register by accident or create a duplicate registration, a $25 administrative processing fee will be applied to your account for ASCLD-incurred registration platform and credit card processing expenses.

How do I pay for the conference?

If you are paying by credit card at the time of registration, you will be able to provide your credit card information during the registration process and it will be run real-time. You can self-print a receipt at the conclusion of the process. ​

If you are paying by credit card after you have already registered, utilize the Modify and Pay button above, navigate to the Payment page, and enter you credit card information.
If you are paying by check, mail in your payment and a copy of your invoice to the mailing address found on the invoice. To download a copy of your invoice, utilize the My Invoice button above and navigate to the Payment page.

When is my payment due? Payment is due in full before you will be allowed to attend the conference. ​

Why do I have to provide my personal credit card information? If you do not pay with a credit card at the time of your registration, you will be asked to provide personal credit card information. This information will be stored in a secure site and your card will not be charged without your knowledge. if you pay by check or credit card at a later date, your stored card information will immediately be deleted from our records. if you do not pay for the conference, whether you attend or not, your card will be charged on Tuesday, April 8, 2025, for the full amount of your registration cost.

I was given a discount code for registration. How do I use that?

What is the cancellation policy? If you are unable to attend, please send your cancelation requestion via email to nikki@bibberoevents.com. Full refunds will be available for cancelations occurring within 24 hours of initial registration. Full refunds minus a $25 administrative processing fee will be available until January 20, 2025. A 50% refund will be available January 11 - February 28, 2025. No refunds will be available after March 1, unless the entire Symposium is canceled by ASCLD. No refunds will be available at any point if you are only canceling a workshop or the offsite event. if you do not attend and have not canceled, full payment is expected to cover pre-planned food and beverage costs.

Are substitutions allowed? Yes, if you cannot attend and another member of your organization would like to come in your place, email nikki@bibberoevents.com. However, if their membership status is not the same as yours, they will need to pay the difference in the registration fee, or you will receive a refund for the overpay if applicable.

I'm a non-member. What can I attend? Everything! The only thing that non-members cannot do is vote in the Business Meeting. However, non-members are still encouraged to attend the Business Meeting to learn more about ASCLD and attend the sessions that take place in the middle of the meeting. ​

What is a guest pass? A guest pass is for individuals bringing adult family or friends to the conference. This pass gives the guest access to all meal functions listed above, but does not give the guest access to the exhibit hall or the sessions.

What is a child pass? A child pass is for individuals needing childcare services throughout the week in order to attend the conference.

What is I lose my badge? Lost, misplaced, stolen, or forgotten badges will incur a replacement fee of $5. You can pick up a new badge at the event registration desk. You will not be permitted to enter the event space without your badge.

ASCLD prohibits any form of discrimination or harassment by any conference participant, whether an ASCLD member or not, vendors, speakers, and other parties based on race, color, religion, national origin, sex, age, disability, or sexual orientation. harassment includes, but is not limited to, offensive or derogatory comments, threats of violence or force, or behaviors or actions that are inappropriate in nature. Each ASCLD conference participant bears responsibility to uphold a respectful, professional, and collaborative environment that ASCLD fosters while at conferences. Any conference participant should immediately report any issues pertaining to discrimination and/or harassment to the ASCLD President, ASCLD President-Elect, or the ASCLD Executive Director. The offending party will immediately be asked to cease any discriminating and/or harassing behaviors immediately. Depending on the severity of the offense, ASCLD may take any action they deem appropriate in response to individuals violating this policy, which may include, being expelled from the event (without a refund), being barred to attend future events, being investigated for an Ethics violation, or referral to law enforcement (if offense is criminal in nature).
